Information Collection
Well Positioned collects personal information from clients and students during registration and throughout service delivery. This includes names, contact information, payment details, session notes, and any information voluntarily provided in communications.
Use of Information
Your data is used solely to provide, improve, and manage our coaching services and to communicate with you. We utilize Monday.com and Google Suite for data storage and management. We never sell your data.
Confidentiality, Sharing, and FERPA
We maintain confidentiality between clients and students. Progress updates and session notes may be shared with parents or guardians to support transparency and communication. No information will be shared with third parties outside the client-approved list, except as required by law or detailed in our disclaimers.
Well Positioned is not affiliated with any college or university. Because of this, we are not bound by FERPA regulations. However, we treat student privacy with the highest level of respect and confidentiality. Any personal or academic information shared during coaching is kept private unless the student signs our confidentiality waiver or there is a concern for their safety. The confidentiality waiver includes the names and contact details of the exact people with whom information can be shared, typically a parent.Data Security
We adhere to FERPA compliance and implement enhanced security measures, including strong account protections. Payment processing is handled via Squarespace, which uses industry-standard encryption and security protocols. Well Positioned does not have visual access to your payment information.
Legal Compliance
We comply with all legally binding requests for information, such as court orders, warrants, or summons. Exceptions to confidentiality may apply as described in our service disclaimers.
Payment Security
All payments are processed securely through Squarespace, which uses SSL encryption, PCI compliance, and other industry-standard security measures to protect your financial information. We do not store or access full payment details.
Data Access, Correction, and Deletion
Clients and students may request access, correction, or deletion of their personal data, subject to the following exceptions: payment info can only be deleted by the original payee via the payment processor; students cannot request deletion of information deemed important to share with parents by Well Positioned staff; and no data will be deleted if required for legal retention. Written deletion requests will be processed within 30 days where permitted.
Data Breach Notification
In the event of a data breach, affected clients and students will be notified promptly and in accordance with applicable laws. We will take all reasonable steps to mitigate the breach’s impact and prevent recurrence.
Data Retention and Disposal
Personal data is retained no longer than three (3) years after services conclude. After this period, data will be securely deleted or anonymized except client name and record of services rendered, retained solely for compliance and record-keeping.

At Well Positioned, we believe that trust is the foundation of any meaningful coaching relationship. We are committed to respecting and protecting the privacy of every student and family we work with. Although we are not a school or university—and thus not subject to FERPA (the Family Educational Rights and Privacy Act)—we voluntarily adopt privacy standards that reflect the spirit of those protections.
All conversations, notes, and personal insights shared during 1-on-1 coaching sessions are considered confidential. Information within will be granted only by the student.
We do not share this information with any any outside parties not expressly included in the confidentiality waiver — unless one of the following exceptions applies:✅ Three Exceptions:
The student signs our Confidentiality Waiver granting permission to share specific information with a parent or guardian.
There is a concern for the student’s safety, including situations involving harm to self or others.
We are legally obligated to report (e.g., court order or mandated reporting).

Well Positioned provides coaching and advisory services designed to support a student’s transition into college life. Our approach is strengths-based, practical, and focused on maximizing each student’s potential — not on diagnosing or treating psychological or emotional conditions.
Well Positioned does not provide medical or mental health services and is not a substitute for therapy, mental health counseling, or clinical treatment. Our staff do not function as licensed health professionals and do not assess, diagnose, treat, or resolve mental health conditions. We disclaim all liability related to the interpretation or use of our services as mental health care.
However, we reserve the right to notify emergency contacts, school personnel, or appropriate authorities if we observe behavior suggesting risk of harm — including the implication of abuse, neglect, or exploitation of self or others, even without client or student consent.
By enrolling, clients acknowledge that no therapist-client or healthcare relationship exists, and that Well Positioned bears no clinical duty of care.

⚠️ Accountability Matters
Missed sessions — Please give 24 advisors hours’ notice by email to reschedule.
Ghosting — If we don’t hear from you for a while, We’ll check in — but this works best when we all stay engaged.
Boundaries — Keep communication professional and within designated hours unless we’ve agreed otherwise.

Before coaching begins, students and parents will recieve:
A digital copy of privacy policy to be signed by both parties.
A digital copy of the Confidentiality Waiver to be signed by both parties, if elected.
A digital copy of the Photo and Media Release Waiver to be signed by both parties, if elected.
A digital copy of the complete Service Agreement to be signed by both parties.
